BHS65 Committee Meeting Minutes February 12, 2005
 
The second official meeting for the 40th year BHS Class of 65 Reunion Committee convened at 1PM on February 12, 2005 at the home of Ginny (Vielehr) and Gary Pine. Attendees were, Ginny (Vielehr) Pine, Gary Pine, Ron McGuckin, Larry Orme, Linda (Grotzky) Orme, Alice (Bayne ) Bush, Ronny Bush., Bill Arndt, Anne Sandoe-Thorp, Frank Lister, Sue (Preston) Dukes, and Louie Dukes. Absent were Dianne (Schadegg) Bush, Don Hoved and Marsha (Person) Hovde.  Ann Forward, Ethel Rance and Terry O'Donnell are expected to join up at our March meeting.
 
The meeting was called to order by Ronny Bush. Bush recognized the new attendees pointing out that Anne Sandoe-Thorp is the new News Reporter.  She will be writing articles about classmates of special interest that will be posted periodically on this web site.  Bill Arndt is of special interest himself as he is a noted Historian of Boulder (we are not sure where or how he became so noted).
 
Bush reviewed the progress of activities over the past month.  Contracts have been signed for the Main Event to be held at the Folsom Field Club Room and for our Home Base at the Millennium Harvest House.  Agreements for discounted rates have been made with the Millennium Harvist House, Boulderado Hotel and Boulder Outback Hotel.  A real plus for the combination of Harvist House and Folsom Field is that our fly-in classmates can take a $28 shuttle from DIA to the Harvest House and not need to rent a car over the 3 days.  Local busses and walking paths provide all the local transportation needed.  This makes the combination a truly good value to out of town travelers.
 
Ethyl Rance had recently volunteered to help with bookkeeping and so Linda (Grotzky) Orme will communicate with Ethyl to set up a checking account and transfer funds.  Seed money for this reunion was original $500 plus interest over 10 years to a total of $863.32. Bush needs reimbursement of $500 for the deposit on the Folsom Field Club Room Contract.

Larry and Linda reported that of the 358 post cards sent out 30 were returned to sender as undeliverable with no forwarding address.  Should we therefore assume that 328 classmates were successfully contacted?  So it seems.  An interesting note is that the postcard provided Orme's phone number and the web address. Sixty eight (68) replies came back by e-mail via the web site and only 1 reply by letter and none by phone.  We are in an electronic age.
 
Linda (Beermann) Goddard and Bobbie Lee (Roberta McElroy) have volunteered to make phone calls to verify information on contacted classmates and to search and seek out missing classmates.   If the project seems valuable and not redundant then additional phone callers will be needed to expand the project.  Anyone interested should contact Linda (Beermann) Goddard for an assignment.
 
Ron McGuckin reported that the details for the golf tournament for Friday is just about wrapped up.  About 25 participated in the golfing in 1995.  Golf will cost about $70 per person.
 
Ginny raised concerns for the Friday night Boulder Reservior Woodsie.  She was concerned about food, drinks, lighting and transportation.  Ginny wondered if our Friday night activity could simply be an FAC at the Millennium.  The Millennium has an FAC every Friday Night and we will not face a transportation problem. In light of the committee's concern for good value, easy access, safety and convenience the concenses was to do the FAC at the Harvist House.  Thank you Ginny for your imput.
 
The issue of cost was next on the agenda.  Bush had conversation last week with Ron Mahan who participated on the Class of 64's 40th Anniversary Reunion in 2004.  Dinner Dance cost was $53 plus a DJ for $150, barbeque was $30, memory book was $10.  They charged $100 per person.  They had 147 for the Friday Main Event. Our cost is $50 per person for Saturday night which includes appetizers, bufett dinner, dessert and room rental.  The room rental includes a good sound system, stage and microphone.  There will be a few more expenses associated with the Main Event.  We will not have a hired DJ or band.  Because this is not a Dinner Dance but a Dinner and Entertainment with a little time for dancing we will be our own DJ.  Several of our classmates have extensive CD collections of 60's tunes that we can use. 
 
Note: The Class of 1963 charged $43 for the main event $20 for Friday evening and $3 for Saturday morning plus $18 for the book.
Note: Our Class of 65 in 1995 (10 years ago) charged $55 a person or $95 per couple and a late fee of $5 past June 1. It included a Memory book and extra copies were $15.
 
It was pointed out that some of the local classmates will not be buying a ticket to the Main Event but will attend the FAC, Saturday morning and afternoon activities, enjoy the benefits of the web site and the committees work.  There are costs associated with the planning and organization of the Reunion. These efforts benefit all classmates, even the ones not able to attend the Reunion.  How can we give these classmates an opportunity to assist the Class financially?  Bush suggested that our registration form might include a line for a donation to the Class.  If we could raise some money from classmates who appreciate our work but will not be buying a ticket to the Main Event then the costs of the Reunion would be more fairly allocated.  
Someone pointed out that we should charge a classmate one price and a non-classmate a lesser amount.  Maybe a husband and wife both from the class could get a discount because of the economy of sending only one mailing and fewer calls. The cost of the BHS65.com web site is being paid by Bush and runs $5 a month.  It will be as much as $10 a month as the site increasing in size and then go back down after this year.
 
The contract with Folsom Field for the Main Event requires that we have a deadline for registration.  It is June 15th!!!
 
Alice Bayne Bush reminded us that it is the Committee's objective to be revenue neutural, give classmates choices and to give good value. She suggested that flowers and table decorations be kept to a minimum. Bush will take the committee's recommendations under advisement and set a price very soon.  Bush wants to keep it under $100.
 
The memory book was discussed.  Should the book be a separate line item on the Reunion Registration Form?  Can the memory book be on the internet and printable by anyone at any time? The internet version will be more up-to-date as it will be continuously maintained and updated.  A memory book can be printed and mailed to anyone who may not have web access (for a modest cost).  The online version well be available before the Reunion giving classmates opportunity to read bios and view pictures in advance.   Larry Orme said that we make money off of the sale of the memory book.  We will need to make up revenue if we don't have books to sell.
 
McGuckin said that he would like to turn the golf tournament into a fund raiser by selling sponsorships to local businesses and that all the proceeds would go to current BHS scholarships.  The committee said "Go for it"!
 
Frank Lister said that we might consider a silent auction at the Main Event.  He said that there maybe many classmates who are good at something in the way of arts and crafts who would like to donate an item or two.  It would be a way to showcase classmates talent and to raise a lot of money for scholarships.   Good idea if anyone will lead the way.
 
Ginny suggested that we invite the Class of 64 and Class of 66 to the FAC.  Good idea.
 
Another mailer will be sent out with a registration form.  Ginny suggested that it not be sent out too soon.  She suggested no earlier than April 15th. Good advice.
 
The next meeting will be at Gary and Ginny's March 12th at 1 PM.
